Outlook Best Practices

 Outlook Best Practices

Avoid uncessaray slow usage and Outlook crashes by making sure your system is running as optimally as possible.

The MSExchangeTeam.com offers great advice on optimizing performance.  Here is a brief overview.  Please click here to see the full article:

  • It's the item count not the size that matters - having a large number of items in a folder will mean that operations in that folder will take longer (so long that it may seem like Outlook has crashed since it seems frozen).
  • Performance is largely influenced by the number of items in the "critical path folders": Calendar, Contacts, Inbox, and Sent Item folder
  • The MS Exchange Team recommends no more than about 2500-5000 messages in any of the critical path folders.  If you have more than 5,000 messages in your inbox, for example, you can have unpredictable results depending on how you use Outlook.
  • Other folders can handle having larger numbers of items without having a broad impact on the user experience.  Create sub-folders to store older messages.  You can search easily still and improve optimization!  If you would like advice or help on how to use sub-folders we are happy to help.  Just email or call our HelpDesk and a technician will be happy to work with you.
  • If you are ever experiencing issues using Outlook on your local desktop, please use https://outlook.suretech.com (NOTE the domain is https and no www after that) but be sure to save your work often, because if you lose your internet connection your window will not save your work on Outlook Web Access.
