- It's the item count not the size that matters - having a large number of items in a folder will mean that operations in that folder will take longer (so long that it may seem like Outlook has crashed since it seems frozen).
- Performance is largely influenced by the number of items in the "critical path folders": Calendar, Contacts, Inbox, and Sent Item folder
- The MS Exchange Team recommends no more than about 2500-5000 messages in any of the critical path folders. If you have more than 5,000 messages in your inbox, for example, you can have unpredictable results depending on how you use Outlook.
- Other folders can handle having larger numbers of items without having a broad impact on the user experience. Create sub-folders to store older messages. You can search easily still and improve optimization! If you would like advice or help on how to use sub-folders we are happy to help.
